Warrior Athletic Club (WAC) ASA Minutes

WAC Committee Meeting
November 14, 2005

Attending: Jen Slauson, Rochelle Becker, Lisa Giudici, Lou Bueno, Karlen Howard, Andrea Hoeg, Tara Inghram, Ray Scheve, Perry Young, Beth Potts & Lucy Tennant.

Absent: None

Meeting started at 7:00 pm in Room 202 of the Waukee High School

President Ray Scheve started the meeting. The minutes from the October 11, 2005 and November 1, 2005 meetings were approved with a few small changes and will be posted to the WaukeeSoftball.com website. There were no items added to the agenda.

Jen Slauson presented a list of equipment she would like each of the ten WAC teams to have:

2 sets of catcher's gear
2 Insta Screens
Tee
Practice Balls
10-12 Game Balls
12 Wiffle Balls
Golf Ball Size Wiffle Balls
First Aid Kit
20 Ice Packs
12 squishy balls
4 equipment bags (for catcher's gear, practice balls, regular & golf ball size waffle balls, squishy balls)

Jen hoped players/parents who have moved past the U10 level would consider donating any 11" balls they may still have to the WAC program since they now use larger balls.

Taking into consideration the inventory counts Perry Young completed on existing equipment, Jen Slauson estimates it will cost about $5,000 to get the equipment needed for the 10 teams.

Other items desired are a better surface on the Waukee Elementary field, a tractor, Swing Away, pitching machine, 2 dozen balls for the pitching machine. Jen Slauson suggested the board should see if a tractor could be leased for the softball season, or if someone has a tractor they could donate.

Lou Bueno will investigate ways to make sure the equipment is safely stored somewhere until the items are distributed to coaches.

WAC Fee - It was decided that a fee should be assessed for the General Fund, with the amount to be determined at a future meeting. This is a fee to be a part of the WAC Softball program. The majority of the fees collected this year would be used to purchase the team equipment, and fees in future years would be used to replace equipment as needed and for facility improvements.

Jen Slauson hopes a swap meet to hand down uniforms which have been outgrown to new players can be organized. The plan is for all WAC teams to have the same uniform. Outgrown personal player equipment (bats, helmets, gloves…) could be a part of this swap also.

Besides the WAC fee, other expenses each player will most likely incur are:

Uniform - approx. $50
Visor - approx. $13
Tournament Fees - approx. $20 per player/per tourney (varies by # of tourneys played)
Helmet - approx. $31 ($19 helmet plus $12 required face mask)
Bags (optional)
Socks
ASA Insurance & ASA Card

The WAC fee should be given to their coach, who will then send the team total to the Treasurer (Andrea Hoeg). Team equipment will not be issued until the WAC fees are received by the Treasurer.

Waukee Tournament - The Menace Soccer Team has a game or games during part of the tournament dates of May 19-21. This may create a parking situation as well as a concession stand issue since no alcohol is allowed at an ASA sanctioned event. The weekend of May 12-14 is being considered as an alternate date.

The Mission Statement was presented to the group by Karlen Howard, Lisa Giudici and Lucy Tennant. It was approved and will be posted on the WaukeeSoftball.com website.

It was determined that confidentiality agreements need to be signed by each board member and coach. Lou Bueno will prepare the final drafts of the agreements.

Jen Slauson has reserved with the schools that the WAC will host 5 dances as fundraisers. She also presented an idea for an Elementary movie/fun night. She has reserved the high school and Prairieview for a possible scrapbooking / stamping crop in March to raise funds.

Jen will come up with a wish list of facility improvements she would like to see happen.

The next meeting will focus on Director Roles, fundraising goals & policy, finances, finalizing the Waukee tournament dates and details, facility wish list items and confidentiality agreements.
