Warrior Athletic Club (WAC) ASA Minutes

WAC Committee Meeting
January 18, 2006

Attending: Ray Scheve, Rochelle Becker, Andrea Hoeg, Tara Inghram, Perry Young, Lucy Tennant & Lou Bueno.

Absent: Lisa Giudici & Beth Potts

Meeting started at 6:30 pm in room 202 at Waukee High School.

Ray Scheve presented the agenda for the meeting.

Resignation of Karlen Howard was accepted and discussions were had regarding replacing Karlen. We are sorry to see her leave.

Ray Scheve ran through a list of the items the board has accomplished in the board meetings that have been held since the first meeting on October 11, 2005: WAC board positions determined and assigned; paperwork finalized for the players/parents; WAC P.O. Box obtained; WaukeeSoftball.com website updated regularly; website e-newsletters sent out regularly; planning of the Warrior Annual Classic tournament including dates, locations, hotels, working with the city of Waukee, advertising, ASA approval, flyers designed, detailed tournament duties outlined, tournament committee heads assigned, sponsors, flyers mailed, food; WAC Mission Statement completed; WAC dues determined; team equipment needs determined; swap meet set up; confidentiality agreements drafted and signed; fundraisers set up - dances, scrapbook day; team names assigned; plus many other miscellaneous items.

Team sponsors were discussed.

As a general guideline for 2006, the teams will be responsible for finding team sponsors although this is not a team requirement. There are no contribution amount requirements to be a team sponsor. If a team needs help contacting potential sponsors, they can contact Lisa Giudici, the Fundraising Director, for suggestions.

If team sponsors are obtained the recommendation is that the cost for sponsors to be on a team banner will be $250 and that 3 sponsors should be the maximum per banner. The $250 will put the sponsor on the banner, they will receive acknowledgement on the WaukeeSoftball.com website, and will be sent a letter of appreciation from the WAC board. Sending sponsors an appreciation plaque was discussed, and that will be decided at a later date. Sponsors are welcome to contribute any amount that they wish, and all sponsors will receive acknowledgement on the WaukeeSoftball.com website, and at the Warrior Annual Classic tournament. Ray Scheve will contact Lisa Guidici to finalize the WAC sponsorship form for all the teams to use when soliciting funds.

Team Banners were discussed. There were discussions regarding printing of all the team banners and that a local business may be willing to do this free or at a reduced charge. This will be investigated and decided at a later date.

Perry Young, Tara Inghram and Lou Bueno are available to be at the Swap Meet on Saturday, January 21, 2006. Andrea Hoeg will be available the following Monday evening, the alternate date for ordering uniforms. Rochelle Becker will put together an order form. Parents and players are welcome to bring items for donation or for sale on Saturday. If they are bringing something for sale, they are responsible for their items and any money transactions involving their items. Coaches need to make sure the WAC fee is paid at this time.

Regarding the tournament, Rochelle Becker said that she had been approached by a local business to donate food for the tournament and she will pursue this option. This business is willing to donate food and the use of a grill to the WAC program if we work the grill and sell the food items at the tournament. Food items include hot dogs, hamburgers, chicken, buns, etc. Use of profits, if any, from the tournament were discussed. It was recommended that proceeds be used for facility improvements, but no decisions were made as future discussions will be needed.

Rochelle Becker knows a DJ who may be available for the upcoming dances the WAC program is hosting. The DJ has videos, light shows, popular music… It was noted that two DJ's are needed for the February 10th date because of the dances going on at the 2 different schools - Prairieview and the Middle School. The usual DJ cost is about $250 for 2.5 to 3 hours. Ray Scheve will coordinate with Coach Slauson the assigning of teams to the dance dates.

The next meeting will concentrate on defining each board member role in detail, starting with the U10, U12 and U14 Directors.

The minutes from the January 4, 2006 meeting were approved and will be posted to the WaukeeSoftball.com website.
